Office Manager & Company Secretary

This is an exciting opportunity for someone with corporate governance experience to work with a well-established charity at a very exciting time in its development. The position would suit applicants with an organised but flexible approach and the ability to hit the ground running.

The role in brief

· Accountable to: Chair of Trustees

· Purpose of Post: To provide administrative support to the Chair of Trustees, to undertake company secretarial duties and to fulfil all administrative tasks necessary for the efficient operation of the charity and its offices

· Contract: Part time, 21 hours per week

· Salary: circa £25,000 pro rata, depending on experience

Job Description

Main Tasks

Development and implementation of budgeting and reporting procedures (Sage, Donorflex, Excel and Word) and overseeing the completion of an annual budget for submission to the Board of Trustees


Updating the donor database, Donorflex to ensure all donations are recorded and donor records are accurate


Development and implementation of a reporting system to ensure the Board of Trustees receive the information they require to fulfil their statutory and regulatory duties

 

Administration of all aspects of statutory reporting to Companies House and the Charity Commission acting in the company secretarial role

 

Advising the Chair of Trustees on developments affecting the governance of the charity

 

Supporting the Chair of Trustees in scheduling and running Board Meetings, distributing board papers, taking minutes and ensuring that minutes are properly recorded and action items completed

 

Acting as the first point of contact for all the charity’s suppliers and ensuring that the charity secures the most cost-effective deals for everything from stationery to IT

 

Ensuring the smooth running of the charity’s offices, liaising with the landlord where necessary

 

To be responsible for Health and Safety across the charity’s offices


To attend Trustee meetings as required and take minutes


In addition: Such other duties as may from time to time be required
